Managing sales, inventory, accounting, employees, customers, and business operations through separate tools can become difficult as a company grows.
An ERP system solves this problem by bringing important business processes into one connected platform. Instead of maintaining separate applications for every department, businesses can manage their operations through shared data and integrated modules.
Odoo is an example of this modular approach. Businesses can use applications for CRM, sales, inventory, accounting, HR, e-commerce, projects, and other operations.
Building an ERP system like Odoo does not mean copying every feature from the beginning. A better approach is to create a strong ERP core, launch the most important modules first, and expand the platform as business requirements grow.
This guide explains how to build an ERP system like Odoo, including its architecture, essential modules, technology stack, database structure, security, and development process.
1. What Is an ERP System Like Odoo?
An Enterprise Resource Planning system is software that connects different business departments through a centralized platform.
For example, imagine a company receives a new customer order.
Without an ERP, employees might manually update the sales system, inventory spreadsheet, invoice records, and accounting software.
With an integrated ERP, one transaction can trigger several connected operations.
A customer order can create a sales record, reduce available inventory, generate an invoice, update the customer’s account, and make the transaction available for financial reporting.
A modern ERP can include:
- CRM and lead management
- Sales and quotation management
- Inventory and warehouse management
- Purchasing and suppliers
- Invoicing and accounting
- Employee and HR management
- Project and task management
- Manufacturing
- E-commerce
- Reporting and analytics
The biggest advantage is that these modules work together instead of operating as isolated applications.
2. How Does an ERP Platform Like Odoo Work?
An ERP platform usually consists of a central business system surrounded by individual modules.
A company creates its organization account and adds employees. Administrators then enable the modules required by the business.
For example, a retail company might enable CRM, Sales, Inventory, Purchase, and Accounting.
A software company may instead use CRM, Sales, Projects, Timesheets, Invoicing, and HR.
When information changes inside one module, related modules can use the updated data.
For example:
Customer → Quotation → Sales Order → Inventory → Invoice → Payment
Suppose a customer accepts a quotation for ten products.
The sales module converts the quotation into an order. Inventory can reserve the required products. An invoice can then be generated, while the accounting module records the financial transaction according to the configured workflow.
This connected architecture is one of the most important parts of an ERP platform.
3. Start With a Modular ERP Architecture
Trying to build CRM, HR, accounting, inventory, manufacturing, e-commerce, payroll, and every other feature simultaneously can make the project extremely complex.
Instead, create a modular architecture.
Build a common ERP core containing:
Authentication
User registration, login, password management, and session handling.
Organization Management
Company information, branches, currencies, time zones, and business settings.
Users and Roles
Employees, departments, roles, and permissions.
Shared Business Data
Customers, suppliers, products, taxes, currencies, addresses, and documents.
After creating this foundation, individual ERP modules can be added.
For an MVP, you might begin with:
CRM + Sales + Inventory + Purchase + Invoicing
Later, you can introduce HR, projects, manufacturing, advanced accounting, and e-commerce.
This approach makes development and future expansion easier.
4. Build the CRM Module
CRM helps businesses manage potential customers and sales opportunities.
A basic CRM module should support:
- Leads
- Contacts
- Companies
- Sales representatives
- Lead sources
- Follow-up activities
- Notes
- Sales pipelines
For example, a customer submits an inquiry through the company’s website.
The ERP automatically creates a lead.
A sales representative contacts the customer and updates the lead status.
The opportunity can then move through stages such as:
New Lead → Qualified → Proposal → Negotiation → Won/Lost
When the customer accepts the offer, the opportunity can connect directly with the sales module.
This prevents employees from entering the same customer information repeatedly.
5. Build Sales and Quotation Management
The sales module manages quotations, customer orders, prices, discounts, and invoices.
A typical workflow can be:
- Create a customer.
- Create a quotation.
- Add products or services.
- Apply approved prices, discounts, and taxes.
- Send the quotation.
- Customer accepts the quotation.
- Convert it into a sales order.
- Reserve or deliver products.
- Generate the invoice.
Each sales order should store important historical values such as the product price and applicable tax at the time of the transaction.
This is important because product prices may change later.
For service businesses, the same system can connect sales orders with projects or timesheets instead of physical inventory.
6. Build Product and Inventory Management
Inventory management is one of the most important ERP modules for businesses selling physical products.
The system should manage:
- Products
- Product variants
- SKUs
- Warehouses
- Storage locations
- Available stock
- Reserved stock
- Incoming stock
- Stock movements
- Reorder levels
For example, imagine your Jaipur warehouse contains 100 units of a product.
A customer orders 10 units.
Instead of simply changing the quantity from 100 to 90, a robust ERP should record the underlying inventory movement or reservation.
This creates a traceable inventory history.
For businesses with multiple warehouses, the system should also support stock transfers between locations.
Later, you can introduce barcode scanning, batch numbers, serial numbers, expiry dates, and automatic replenishment.
7. Build Purchase and Supplier Management
The purchase module manages products and services that a business buys from suppliers.
A typical workflow is:
Purchase Request → Request for Quotation → Purchase Order → Goods Received → Supplier Invoice → Payment
Suppose inventory falls below its configured reorder level.
The ERP can notify the purchasing team or generate a replenishment suggestion.
An employee can then create a purchase order for the supplier.
When products arrive, warehouse staff record the received quantities.
Inventory is updated, while the financial side of the transaction can be passed to the relevant invoicing or accounting workflow.
Supplier profiles can contain contact details, previous purchases, payment terms, and product pricing.
8. Add Invoicing and Accounting
Accounting is one of the more complex ERP modules because requirements vary by business and jurisdiction.
Start with invoicing if you are building an MVP.
Your system can support:
- Customer invoices
- Supplier bills
- Payment records
- Credit notes
- Accounts receivable
- Accounts payable
- Tax configuration
- Financial reports
For a more comprehensive accounting system, you may need chart-of-accounts management, journals, journal entries, reconciliation, fiscal periods, and detailed financial reporting.
Avoid treating accounting as a simple income-minus-expense calculator.
Financial workflows should be designed according to the accounting and tax requirements of the markets where your ERP will operate.
For India-focused businesses, applicable GST, invoicing, and other compliance requirements should be reviewed when designing the production system.
9. Add HR and Employee Management
Once the main business modules are working, you can introduce Human Resources functionality.
The HR module can manage:
- Employee profiles
- Departments
- Job positions
- Attendance
- Leave requests
- Documents
- Expenses
- Recruitment
- Performance information
For example, an employee submits a leave request.
Their manager receives the request and approves or rejects it.
The employee’s leave records are then updated automatically.
You can also build attendance using manual check-in, QR codes, biometric integrations, or supported attendance hardware.
Payroll should usually be treated as a separate advanced module because payroll calculations depend heavily on employment and tax rules.
10. Add Project and Task Management
Service businesses may require project management alongside CRM and sales.
When a customer accepts a software development quotation, the ERP could create a project automatically.
The project can contain tasks such as:
UI/UX Design
Assigned to the design team.
Backend Development
Assigned to backend developers.
Mobile Application
Assigned to Flutter developers.
Testing
Assigned to QA.
Each task can include an assignee, priority, deadline, comments, attachments, subtasks, and time records.
Employees can record timesheets against tasks, allowing businesses to compare estimated and recorded work.
This information can also support project-based invoicing when appropriate.
11. Add Manufacturing When Required
Manufacturing significantly increases ERP complexity, so it does not need to be included in every first release.
For manufacturing businesses, you may eventually need:
- Bills of materials
- Raw materials
- Work orders
- Manufacturing orders
- Production stages
- Quality checks
- Equipment management
- Finished goods inventory
For example, suppose a company manufactures tables.
A Bill of Materials could specify the wood, screws, fittings, and other materials required for one table.
When a manufacturing order is created, the ERP can calculate required materials and compare them with available inventory.
Once production is completed, raw material movements and finished product inventory can be recorded accordingly.
12. Choose the Right Technology Stack
You do not need to use the same technology stack as Odoo to build a similar type of platform.
A modern stack could look like this:
Next.js – ERP Web Application
Use Next.js for responsive dashboards, business forms, reports, tables, and administrative interfaces.
Flutter – ERP Mobile Application
Flutter can provide Android and iOS applications for sales representatives, warehouse staff, managers, and other employees who need mobile access.
Node.js + NestJS or Express.js – Backend
Use Node.js for authentication, APIs, business rules, automation, integrations, and communication between ERP modules.
NestJS can be particularly useful when the backend becomes large because it encourages a modular application structure.
PostgreSQL – Primary Database
ERP information is highly relational. PostgreSQL works well for customers, products, orders, invoices, employees, warehouses, and other connected business records.
Redis – Cache and Background Work
Redis can support caching, queues, temporary data, and background processing.
Object Storage – Documents
Use suitable object storage for invoices, product images, employee documents, attachments, and other uploaded files.
For a smaller MVP, Supabase can also provide PostgreSQL, authentication, storage, and realtime functionality.
13. Design the ERP Database Carefully
Your database becomes increasingly important as modules begin sharing information.
A simplified structure might include:
Core
Organizations, users, roles, permissions, departments, branches.
CRM
Leads, contacts, opportunities, activities.
Sales
Quotations, sales orders, sales order items.
Inventory
Products, variants, warehouses, locations, stock movements.
Purchasing
Suppliers, purchase orders, purchase order items.
Finance
Invoices, invoice items, payments, taxes, accounting records.
Projects
Projects, tasks, comments, timesheets.
HR
Employees, attendance, leave requests, expenses.
Avoid creating completely disconnected copies of the same information for every module.
For example, CRM and Sales should be able to reference the same customer record where the business rules permit it.
At the same time, maintain clear module boundaries so changing one part of the system does not unexpectedly break another.
14. Implement Multi-Company and Multi-Tenant Support
If you plan to offer your ERP as SaaS, multiple companies may use the same platform.
Company A must never be able to access Company B’s private information.
Every relevant record should therefore have clear organizational ownership.
For example:
Organization
↓
Users
↓
Customers
↓
Sales Orders
↓
InvoicesAuthentication alone is not sufficient.
Your backend must verify the user’s organization, role, permissions, and access to the requested resource.
For larger customers, you may eventually support multiple legal entities or branches inside the same account.
Multi-company functionality should be planned early because adding it after the entire ERP has been built can require significant architectural changes.
15. Build Role-Based Access Control
Different employees should have different levels of access.
For example:
Sales Employee
Can manage assigned customers, leads, quotations, and sales orders.
Warehouse Employee
Can manage authorized inventory and stock operations.
Accountant
Can access invoices, payments, and accounting records.
HR Manager
Can manage authorized employee and HR information.
Administrator
Can configure company settings, users, roles, and permissions.
Do not rely only on hiding buttons in the frontend.
Permissions must also be enforced on backend APIs and, where appropriate, at the database level.
For advanced ERP systems, permissions can become more detailed.
For example, a user might be allowed to view invoices but not delete them.
16. Add Workflow Automation
Automation is one of the features that can make an ERP much more useful.
For example:
A customer accepts a quotation.
↓
The ERP creates a sales order.
↓
Inventory is reserved.
↓
Warehouse staff receive a notification.
↓
Products are dispatched.
↓
An invoice is generated according to the configured workflow.
↓
The finance team can track payment status.
You can also automate:
- Low-stock alerts
- Purchase suggestions
- Invoice reminders
- Lead assignments
- Approval requests
- Task creation
- Employee notifications
- Scheduled reports
Start with predefined automation.
Later, you can build a workflow engine where administrators create rules such as:
Trigger → Conditions → Actions
Make sure automation includes safeguards against duplicate execution and infinite loops.
17. Build Reports and Business Dashboards
An ERP becomes significantly more valuable when businesses can understand their operations through accurate reports.
A management dashboard can display:
- Sales
- Orders
- Outstanding invoices
- Inventory levels
- Purchase activity
- Active customers
- Project status
- Employee activities
Individual modules should also provide their own reports.
For example, inventory managers may need stock movement reports, while sales managers may need pipeline and sales reports.
Avoid mixing estimated values with confirmed financial figures.
For example, the value of open sales opportunities should not automatically be presented as revenue.
18. Add Third-Party Integrations
Businesses often need their ERP to communicate with external services.
Useful integrations may include:
- Payment gateways
- E-commerce platforms
- Shipping providers
- Email services
- SMS providers
- WhatsApp Business
- Accounting services
- Banks
- Google Workspace
- Microsoft 365
For example, an e-commerce integration can import confirmed orders into the ERP.
Inventory changes can then be synchronized according to the integration rules.
Use webhooks and background jobs where appropriate instead of forcing users to wait for long synchronization processes.
Additionally, design integrations so temporary external API failures do not corrupt ERP data.
19. Build an App or Module System
One of the useful ideas behind modular ERP software is that businesses can activate the functionality they actually need.
You can implement a similar system.
For example:
Installed Modules
CRM ✓
Sales ✓
Inventory ✓
Purchase ✓
Available Modules
Projects
HR
Manufacturing
E-commerce
Helpdesk
When an administrator activates a module, your platform enables the relevant navigation, permissions, settings, and workflows.
For an advanced SaaS product, subscription plans can determine which modules a company can access.
This also gives you opportunities to expand the product without redesigning the entire ERP.
20. Implement Security, Backups, and Audit Logs
ERP platforms can contain highly sensitive company information.
Therefore, security should be part of the architecture from the beginning.
Implement:
- HTTPS
- Secure authentication
- Role-based permissions
- Tenant isolation
- Secure file uploads
- Database backups
- API rate limits
- Session management
- Sensitive-data protection
- Audit logs
Audit logs are particularly important.
For example, if someone changes an invoice from ₹10,000 to ₹8,000, authorized administrators may need to know who made the change and when.
Important business records should therefore maintain an appropriate change history.
21. Test the Complete ERP Workflow
Testing individual screens is not enough.
You should test complete business processes.
For example:
CRM → Sales → Inventory → Invoice → Payment
Create a customer.
Generate a quotation.
Convert it into a sales order.
Reserve products.
Complete delivery.
Generate an invoice.
Record the payment.
Then verify that every related record contains the correct information.
Also test scenarios such as:
- Two employees selling the same remaining inventory
- Duplicate payment notifications
- Unauthorized module access
- Incorrect inventory adjustments
- Cancelled sales orders
- Partial deliveries
- Partial payments
- Returned products
- Failed third-party integrations
- Multiple employees editing the same record
Automated tests are especially valuable for important financial and inventory workflows.
22. How Much Does It Cost to Build an ERP Like Odoo?
There is no single development cost because ERP scope can vary enormously.
A focused ERP MVP containing CRM, sales, inventory, purchasing, invoicing, users, permissions, and basic reports is much smaller than a full business management ecosystem.
A more advanced platform may include HR, payroll, manufacturing, e-commerce, accounting, helpdesk, project management, mobile applications, and extensive integrations.
Instead of attempting everything in version one, divide development into phases.
Phase 1 – Core ERP
Authentication, organizations, users, roles, CRM, sales, inventory, purchase, and invoicing.
Phase 2 – Business Operations
Projects, HR, advanced reporting, workflow automation, and integrations.
Phase 3 – Advanced ERP
Accounting, manufacturing, e-commerce, helpdesk, payroll, and advanced customization.
This reduces initial development complexity and allows you to validate the product with actual users before investing in every module.
23. Frequently Asked Questions
Can I build an ERP like Odoo using Flutter?
Yes. Flutter can be used for Android and iOS ERP applications and can also support web interfaces.
For a large browser-based ERP with complex tables and administrative interfaces, you can also use Next.js for the primary web application while using Flutter for mobile apps.
Can I use Firebase or Supabase?
Yes.
Firebase can support authentication, notifications, storage, and selected application functionality.
Supabase can be particularly useful when you want managed PostgreSQL, authentication, storage, and realtime features.
However, complex ERP workflows still require carefully designed backend business logic and permissions.
Should I build every ERP module initially?
No.
Start with the modules required by your target customers.
CRM, Sales, Inventory, Purchase, and Invoicing can provide a strong starting point for many businesses.
Additional modules can be introduced later.
Can an ERP like Odoo be offered as SaaS?
Yes.
You can build a multi-tenant ERP where businesses create organization accounts, invite employees, activate modules, and subscribe to different plans.
Strong tenant isolation is essential when multiple businesses share the platform.
Can AI be added to an ERP?
Yes.
AI can assist with tasks such as document extraction, customer communication summaries, internal knowledge search, report explanations, and natural-language queries.
For example, a manager might ask:
“Show me products with low stock and strong sales this month.”
The system could translate the request into an authorized query and present the relevant ERP data.
However, financial, inventory, or other important business actions should not rely blindly on generated AI output.
Conclusion
Building an ERP system like Odoo is a large project, but you do not need to recreate an entire enterprise platform in the first version.
Start with a strong core architecture and essential modules such as CRM, Sales, Inventory, Purchase, and Invoicing.
More importantly, make those modules work together.
Once the foundation is stable, you can introduce HR, Projects, Accounting, Manufacturing, E-commerce, automation, analytics, and additional integrations.
A modular architecture allows the ERP to grow alongside the businesses using it.
