How to Build an Appointment Scheduling App Like Calendly: A Complete Guide

Scheduling meetings sounds simple until a business needs to manage hundreds of appointments across different employees, services, time zones, calendars, and customers.

Without an appointment scheduling system, businesses often rely on phone calls, emails, spreadsheets, or long conversations just to find a suitable meeting time.

An appointment scheduling platform solves this problem by allowing users to share their availability and let customers or clients book an available time slot automatically.

A platform like Calendly can be useful for consultants, recruiters, sales teams, teachers, healthcare businesses, agencies, salons, coaches, and many other service-based businesses.

However, building an appointment scheduling app requires more than displaying a calendar. You need availability rules, time-zone handling, conflict prevention, calendar synchronization, reminders, rescheduling, cancellation, team scheduling, integrations, and secure booking workflows.

In this guide, we will explain how to build an appointment scheduling app like Calendly from scratch.

---

1. What Is an Appointment Scheduling App?

An appointment scheduling app allows people or businesses to define when they are available and let others book appointments from those available time slots.

For example, a consultant may create an event:

30-Minute Consultation

Duration:
30 Minutes

Availability:
Monday-Friday

10:00 AM-6:00 PM

The consultant receives a booking link.

They can share that link with customers.

A customer opens the page, selects an available date and time, enters their information, and confirms the appointment.

The basic workflow looks like:

Host Creates Event
       ↓
Defines Availability
       ↓
Shares Booking Link
       ↓
Guest Selects Time
       ↓
Booking Confirmed
       ↓
Calendar Updated
       ↓
Notifications Sent

The scheduling platform handles the coordination automatically.

---

2. How Does an Appointment Scheduling App Like Calendly Work?

Suppose a sales manager wants customers to schedule product demonstrations.

They create:

Event:
Product Demo

Duration:
45 Minutes

Available:
Monday-Friday

10 AM-5 PM

The platform generates a booking page.

For example:

yourapp.com/rahul/product-demo

A customer opens the link.

The system checks the host’s scheduling rules and connected calendars before displaying available times.

The customer selects:

25 September

2:00 PM-2:45 PM

The system performs another availability check before confirming the booking.

If the slot is still available, the appointment is created.

Example: A modern scheduling interface where customers select a date and available appointment time.

After confirmation, the platform can:

• Create the appointment
• Update connected calendars
• Send confirmation emails
• Schedule reminders
• Generate a meeting link
• Trigger integrations

The selected slot should immediately stop appearing as available according to the event’s capacity rules.

---

3. Decide What Type of Scheduling Platform You Want to Build

Before development begins, identify your target customers.

Different industries require different scheduling workflows.

Individual Scheduling

Useful for:

• Freelancers
• Consultants
• Coaches
• Creators
• Tutors

One person creates a booking page and shares it with clients.

Business Appointment Scheduling

Suitable for:

• Salons
• Clinics
• Repair businesses
• Legal offices
• Agencies

Customers select a service, employee, date, and time.

Sales Scheduling

Sales teams can allow leads to directly schedule demos and consultation calls.

Recruitment Scheduling

Recruiters can schedule interviews with candidates and multiple interviewers.

Team Scheduling

Businesses can distribute meetings among multiple team members.

For an MVP, individual one-to-one appointment scheduling is usually the simplest starting point.

---

4. Build User Authentication

Users need accounts before creating booking pages.

Support standard authentication methods such as:

Email + Password

Google Login

Apple Login

Microsoft Login

After registration, collect basic profile information:

Name

Username

Profile Image

Time Zone

Language

Default Availability

The username can become part of the public scheduling URL.

For example:

yourapp.com/ankit

Make usernames unique.

---

5. Build User Profiles

Each scheduling user needs a public booking profile.

A profile can contain:

Name:
Ankit Kumar

Role:
Flutter Developer

About:
Schedule a consultation with me.

Time Zone:
Asia/Kolkata

The public profile can display available event types.

For example:

15-Minute Quick Call

30-Minute Consultation

60-Minute Project Discussion

Users can choose which events are publicly visible.

---

6. Build Event Types

Event types define what customers can schedule.

For example:

Event:
Project Consultation

Duration:
30 Minutes

Location:
Google Meet

Availability:
Monday-Friday

Each event type can contain:

Event ID

Title

Description

Duration

Location

Availability

Booking Questions

Buffer Time

Minimum Notice

Booking Window

Status

Possible durations include:

15 Minutes

30 Minutes

45 Minutes

60 Minutes

Custom Duration

Allow users to create multiple event types.

---

7. Design the Availability System

Availability is the foundation of the entire scheduling platform.

A user might configure:

Monday
10:00 AM-5:00 PM

Tuesday
10:00 AM-5:00 PM

Wednesday
Not Available

Thursday
12:00 PM-6:00 PM

Friday
10:00 AM-4:00 PM

Store recurring availability rules separately from appointments.

For example:

availability_rules

id
user_id
day_of_week
start_time
end_time
timezone

Do not generate and permanently store every possible future time slot.

Instead, calculate available slots dynamically from scheduling rules and existing calendar conflicts.

---

8. Support Multiple Availability Periods

Some users may have breaks during the day.

For example:

Monday

9:00 AM-12:00 PM

2:00 PM-6:00 PM

Your availability model should therefore support multiple periods for the same day.

This is better than storing only:

Monday
9:00 AM-6:00 PM

because that would incorrectly make lunch hours bookable.

---

9. Add Date-Specific Overrides

Recurring availability is not enough.

A user might normally work on Monday but be unavailable on a specific Monday.

Allow date overrides.

For example:

2 October

Unavailable

Another override could be:

5 October

Normally:
10 AM-5 PM

Override:
2 PM-6 PM

When calculating availability, date-specific overrides should take precedence over normal weekly rules.

---

10. Build the Slot Generation Engine

Suppose an event lasts:

30 Minutes

and the host is available:

10:00 AM-12:00 PM

The platform might generate:

10:00 AM

10:30 AM

11:00 AM

11:30 AM

However, real slot generation requires additional checks.

For every candidate slot, evaluate:

Working Hours

Event Duration

Calendar Conflicts

Existing Bookings

Buffer Time

Minimum Notice

Booking Window

Date Overrides

Only after all rules pass should the slot appear to the customer.

---

11. Add Slot Intervals

Event duration and start-time intervals do not always need to be identical.

For example:

Event Duration:
30 Minutes

Start Interval:
15 Minutes

Available starting times could be:

10:00

10:15

10:30

10:45

This provides more flexibility.

However, overlapping appointments must still be prevented.

---

12. Add Buffer Time

Users may need time between meetings.

For example:

Meeting Duration:
30 Minutes

Before Buffer:
10 Minutes

After Buffer:
15 Minutes

A booking from:

2:00 PM-2:30 PM

effectively blocks:

1:50 PM-2:45 PM

for scheduling purposes.

Buffers are useful for consultants, doctors, sales teams, interviewers, and service businesses.

---

13. Add Minimum Scheduling Notice

Users may not want customers booking appointments five minutes before they start.

Allow minimum notice.

For example:

Minimum Notice:
4 Hours

If the current time is:

10:00 AM

appointments before:

2:00 PM

should not be available.

Users might configure:

30 Minutes

2 Hours

4 Hours

12 Hours

24 Hours

Custom

---

14. Add Maximum Booking Window

Users may also want to limit how far into the future customers can schedule.

For example:

Customers can book:

Next 30 Days

Another user might choose:

Next 60 Days

Your availability engine should only generate slots within the configured booking window.

This prevents customers from scheduling appointments too far into the future.

---

15. Handle Time Zones Correctly

Time zones are one of the most important parts of appointment scheduling.

Suppose the host lives in India.

Their availability is:

India:
6:00 PM

A customer in London should see the equivalent local time rather than being required to calculate the conversion manually.

Store actual appointment timestamps using a consistent standard such as UTC.

Also preserve the relevant time-zone identifiers.

For example:

Host Time Zone:
Asia/Kolkata

Guest Time Zone:
Europe/London

Then display times in the appropriate local zone.

Avoid storing only:

6:00 PM

without time-zone context.

Daylight-saving changes make this especially important for international scheduling.

---

16. Build the Public Booking Page

The public booking page should be extremely simple.

A customer should see:

Project Consultation

30 Minutes

Video Meeting

Then:

Select Date

After selecting the date:

Available Times

10:00 AM

10:30 AM

11:30 AM

2:00 PM

After selecting a time, ask for customer information.

For example:

Name

Email

Phone

Additional Notes

Avoid forcing customers to create accounts just to schedule a normal appointment unless your business model specifically requires it.

---

17. Add Custom Booking Questions

Different businesses need different information before appointments.

Allow users to create custom questions.

For example:

What would you like to discuss?

Another business might ask:

Company Name

Project Budget

Website URL

Phone Number

Support field types such as:

Short Text

Long Text

Dropdown

Checkbox

Phone

Number

Allow fields to be marked as required or optional.

Store responses with the booking.

---

18. Prevent Double Booking

This is one of the most critical technical requirements.

Imagine two customers open the same booking page.

Both see:

2:00 PM

Customer A clicks it.

At almost the same moment, Customer B clicks it.

If your system only relies on frontend availability, both could create appointments.

The backend must perform another availability check when the booking is submitted.

A simplified process is:

Customer Selects Slot
       ↓
Submit Booking
       ↓
Backend Rechecks Availability
       ↓
Safely Reserve/Create Appointment
       ↓
Confirm Booking

Use appropriate database constraints, transactions, or locking strategies to prevent conflicting bookings.

Never trust the slot shown on the frontend as proof that it is still available.

---

19. Choose the Right Technology Stack

A modern appointment scheduling platform can use the following architecture.

Next.js – Web Application

Use Next.js for:

User Dashboard

Public Booking Pages

Event Management

Availability Settings

Team Management

Analytics

Flutter – Mobile Application

Flutter can be used for:

Appointment Dashboard

Calendar

Notifications

Availability Management

Booking Management

Node.js + NestJS – Backend

Create separate modules for:

Authentication

Users

Organizations

Events

Availability

Bookings

Calendars

Teams

Notifications

Payments

Integrations

PostgreSQL – Primary Database

Store:

Users

Organizations

Event Types

Availability Rules

Bookings

Customers

Calendar Connections

Teams

Notifications

Redis

Redis can support:

Caching

Rate Limiting

Temporary Locks

Short-Lived Booking Holds

Background Queue

Use background workers for:

Calendar Synchronization

Emails

Reminders

Webhooks

Meeting Creation

Integration Processing

---

20. Design the Appointment Database

A simplified booking architecture might include:

Users

id
name
email
timezone
username

Event Types

id
user_id
title
duration
location_type
minimum_notice
booking_window
status

Availability Rules

id
user_id
day_of_week
start_time
end_time
timezone

Availability Overrides

id
user_id
date
start_time
end_time
is_unavailable

Bookings

id
event_type_id
host_id
guest_name
guest_email
start_at
end_at
status
timezone

Calendar Connections

id
user_id
provider
external_account_id
status

Booking Answers

id
booking_id
question_id
answer

This structure can later expand for teams, payments, multiple guests, and recurring events.

---

21. Integrate External Calendars

Calendar integration makes the scheduling platform much more useful.

A user may already have:

Team Meeting
10 AM-11 AM

Lunch
1 PM-2 PM

Client Call
4 PM-5 PM

Even if their scheduling availability is:

9 AM-6 PM

those existing calendar events should normally block the corresponding times.

The availability calculation becomes:

Configured Availability
        ↓
Remove Existing Bookings
        ↓
Remove Calendar Conflicts
        ↓
Apply Buffers
        ↓
Apply Overrides
        ↓
Available Slots

When a new appointment is confirmed, create the corresponding event in the connected calendar where configured.

---

22. Support Multiple Calendars

Some users maintain multiple calendars.

For example:

Work Calendar

Personal Calendar

Interview Calendar

Allow users to choose:

Calendars checked for conflicts

and separately:

Calendar where new appointments are created

For example:

Check Conflicts:

✓ Work
✓ Personal

Add New Meetings To:

Work

This prevents a personal appointment from accidentally being ignored when calculating availability.

---

23. Handle Calendar Synchronization Carefully

Calendar synchronization can fail.

External APIs may experience:

Network failures

Expired access tokens

Rate limits

Temporary service errors

Do not assume every external request succeeds immediately.

Use:

Retry mechanisms

Token refresh

Background jobs

Synchronization status

Error logging

Show users when a calendar connection requires attention.

For example:

Google Calendar

Connection Needs Attention

Do not silently ignore synchronization failures.

---

24. Generate Video Meeting Links

For virtual appointments, automatically create meeting links.

Your platform can integrate with supported video-meeting providers.

The workflow can look like:

Booking Confirmed
       ↓
Create Video Meeting
       ↓
Receive Meeting URL
       ↓
Attach to Booking
       ↓
Add to Calendar
       ↓
Send to Participants

The booking page can offer location options such as:

Video Meeting

Phone Call

Physical Location

Custom Location

Store location information directly with the appointment.

---

25. Build Confirmation Emails

After booking, both participants should receive confirmation.

For example:

Appointment Confirmed

Project Consultation

Date:
25 September

Time:
2:00 PM

Duration:
30 Minutes

Meeting:
Video Call

Include actions such as:

Add to Calendar

Reschedule

Cancel

The email should display the appointment time clearly in the relevant recipient’s time zone.

---

26. Build Appointment Reminders

People often forget scheduled meetings.

Allow hosts to configure reminders.

For example:

24 Hours Before

1 Hour Before

10 Minutes Before

Support channels such as:

Email

Push Notification

SMS

where available.

Store reminders as scheduled jobs.

Do not depend on a user’s browser or mobile application remaining open.

---

27. Build Rescheduling

Customers should be able to change an appointment without contacting the host.

A secure rescheduling link can open the booking page again.

For example:

Current Appointment:

25 September
2:00 PM

↓

Select New Time

26 September
11:00 AM

Before changing the appointment, verify that the new slot is still available.

Preserve an audit trail.

For example:

Original:
25 September – 2 PM

Rescheduled:
26 September – 11 AM

This history can help with support and reporting.

---

28. Build Appointment Cancellation

Provide secure cancellation links.

When the customer cancels:

Booking
   ↓
Status = Cancelled
   ↓
Calendar Updated
   ↓
Host Notified
   ↓
Guest Confirmation Sent

Allow businesses to configure cancellation rules.

For example:

Cancellation allowed until:

4 Hours Before Appointment

After that time, customers may need to contact the business directly.

---

29. Add Booking Statuses

A booking should have a clear lifecycle.

Possible states include:

Pending

Confirmed

Completed

Cancelled

No-Show

For paid appointments, you might also need payment-related states separately.

Avoid combining appointment status and payment status into one field.

For example:

Booking Status:
Confirmed

Payment Status:
Paid

Keeping these concepts separate makes the system easier to maintain.

---

30. Add Team Scheduling

Businesses often need customers to schedule appointments with teams rather than individuals.

For example:

Sales Team

Rahul
Priya
Aman
Neha

A customer selects:

30-Minute Product Demo

The system determines which eligible team member can handle the appointment.

This can support sales, customer success, recruitment, consulting, and other team workflows.

---

31. Build Round-Robin Scheduling

Round-robin scheduling distributes appointments between team members.

For example:

Booking 1 → Rahul

Booking 2 → Priya

Booking 3 → Aman

Booking 4 → Rahul

A better implementation can also consider actual availability.

For example, if Priya is unavailable, the system should select another eligible team member.

More advanced routing can consider:

Availability

Workload

Priority

Language

Location

Expertise

Start with simple fair distribution before adding complicated routing logic.

---

32. Add Collective Scheduling

Sometimes multiple team members need to attend the same meeting.

For example:

Technical Interview

Participants:

Recruiter

Engineering Manager

Developer

A slot should only be shown when all required hosts are available.

The calculation becomes:

Recruiter Availability
        ∩
Manager Availability
        ∩
Developer Availability
        =
Common Available Slots

This requires efficient availability calculations, especially for larger teams.

---

33. Add Group Events

Some appointments allow multiple guests to reserve the same session.

For example:

Flutter Workshop

Date:
Saturday

Time:
10 AM

Capacity:
20 Participants

Instead of marking the slot unavailable after one booking, track capacity.

For example:

Capacity:
20

Booked:
17

Remaining:
3

Once capacity reaches zero, the slot becomes unavailable.

This can support:

Classes

Webinars

Workshops

Training

Fitness Sessions

---

34. Add Paid Appointments

Some businesses charge customers before confirming an appointment.

Examples include:

Consultants

Doctors

Coaches

Lawyers

Tutors

Premium Services

The booking flow can become:

Select Appointment
       ↓
Enter Details
       ↓
Payment
       ↓
Payment Verified
       ↓
Booking Confirmed

Avoid permanently confirming a paid booking based only on a frontend payment-success screen.

Your backend should verify the payment using the selected provider’s supported confirmation mechanism.

---

35. Handle Temporary Slot Reservations

Paid appointments create an additional problem.

Suppose Customer A selects:

2:00 PM

and begins payment.

While they are paying, Customer B may try to select the same slot.

You can create a temporary reservation.

For example:

Slot:
2:00 PM

Status:
Temporarily Held

Expires:
After configured period

If payment succeeds, convert the hold into a confirmed appointment.

If payment fails or the hold expires, release the slot.

Do not allow abandoned payment sessions to block appointments indefinitely.

---

36. Add Coupon Codes

Paid scheduling platforms may support promotional discounts.

For example:

FIRSTCALL

20% Off

or:

SAVE500

₹500 Discount

Coupons can have:

Start Date

Expiry Date

Maximum Uses

Eligible Event Types

Discount Type

Discount Amount

Validate coupon eligibility on the backend before calculating the final amount.

---

37. Build a Customer Appointment Dashboard

For businesses where customers make appointments regularly, provide a customer dashboard.

Customers can see:

Upcoming Appointments

Past Appointments

Cancelled Appointments

Payments

Receipts

They can also:

Reschedule

Cancel

Join Meeting

Book Again

For simple public scheduling, you can keep account creation optional.

---

38. Build the Host Dashboard

The host needs a central place to manage scheduling.

The dashboard can show:

Today's Meetings

Upcoming Appointments

Pending Appointments

Cancelled Appointments

Useful quick actions include:

Create Event Type

Change Availability

Block Time

Copy Booking Link

View Calendar

Keep the dashboard focused on appointments requiring attention.

---

39. Build Calendar Views

Provide different calendar views.

For example:

Day

Week

Month

Agenda

The host can quickly see:

10:00 AM
Project Consultation

11:30 AM
Sales Demo

2:00 PM
Client Meeting

4:30 PM
Interview

Use lazy loading or date-range queries instead of loading the user’s entire appointment history every time.

---

40. Add Booking Analytics

Businesses need to understand how their scheduling pages perform.

Useful metrics include:

• Total bookings
• Completed appointments
• Cancelled appointments
• No-shows
• Rescheduled appointments
• Bookings by event type
• Bookings by team member
• Bookings by source
• Popular booking times

For example:

This Month

Bookings:
325

Completed:
270

Cancelled:
25

No-Shows:
12

Define every metric clearly.

For example, a rescheduled booking should not accidentally be counted as two completely new appointments unless that is explicitly how the report is defined.

---

41. Add Booking Source Tracking

Businesses may share booking links across different marketing channels.

For example:

LinkedIn

Website

Email

Instagram

Google Ads

Support tracking parameters.

Then reports can show:

Website:
120 Bookings

LinkedIn:
80 Bookings

Email:
55 Bookings

This can help businesses understand which channels generate appointments.

---

42. Build Workflow Automation

Appointments often require actions before and after the meeting.

Allow users to create workflows.

For example:

Appointment Booked
       ↓
Send Confirmation
       ↓
Wait Until 24 Hours Before
       ↓
Send Reminder
       ↓
Appointment Happens
       ↓
Wait 1 Hour
       ↓
Send Follow-Up

Another workflow could be:

Appointment Cancelled
       ↓
Notify Sales Team
       ↓
Update CRM

Store workflow steps as structured data rather than hardcoding every possible automation.

---

43. Add CRM Integration

Sales teams often need booking information inside their CRM.

When someone schedules a meeting:

Booking Created
      ↓
Find/Create CRM Contact
      ↓
Add Meeting
      ↓
Assign Sales Representative

Store external IDs so repeated synchronization does not create duplicate customer records.

If the integration fails, use background retries and display the synchronization status.

---

44. Add Webhooks

Businesses may want appointment events sent to their own systems.

Useful webhook events include:

booking.created

booking.rescheduled

booking.cancelled

booking.completed

payment.completed

A webhook can contain:

Event ID

Event Type

Timestamp

Booking Data

Sign outgoing webhook requests.

Also support automatic retries because receiving servers may temporarily be unavailable.

Do not assume webhooks will always be delivered exactly once.

---

45. Build Developer APIs

Provide APIs so other applications can integrate with your scheduling platform.

For example:

POST /v1/bookings

GET /v1/bookings/{id}

GET /v1/availability

POST /v1/event-types

GET /v1/event-types

POST /v1/bookings/{id}/cancel

POST /v1/bookings/{id}/reschedule

Your developer platform should include:

API Keys

Authentication

Pagination

Rate Limits

Webhooks

Consistent Errors

Versioning

Documentation

Developer APIs can allow CRMs, websites, mobile applications, and business platforms to create scheduling experiences using your backend.

---

46. Add Embeddable Scheduling

Businesses may not want customers to leave their websites.

Provide an embedded scheduling widget.

For example:

<div id="booking-widget"></div>

Businesses can place it on:

Contact Page

Sales Page

Landing Page

Product Page

You can support:

Inline Embed

Popup Widget

Booking Button

The widget should remain lightweight and responsive.

---

47. Build Notifications

Hosts should receive notifications when important booking events happen.

For example:

New Appointment

Appointment Rescheduled

Appointment Cancelled

Payment Received

Upcoming Appointment

Notification channels can include:

In-App

Email

Push Notification

SMS

Allow users to configure which notifications they want.

Avoid sending unnecessary notifications for minor background changes.

---

48. Add No-Show Management

Service businesses often lose money because customers do not attend appointments.

Allow hosts to mark:

Booking Status:
No-Show

Track no-show rates.

For example:

Total Appointments:
100

No-Shows:
8

No-Show Rate:
8%

Businesses can use reminders, deposits, or cancellation policies to reduce no-shows.

For paid services, your system can also support configurable deposit requirements.

---

49. Add Recurring Appointments

Some businesses need repeating appointments.

For example:

Every Monday

10:00 AM

For 8 Weeks

A recurring appointment system should support:

Weekly

Biweekly

Monthly

Custom Frequency

Each occurrence should remain manageable.

For example, users may need to:

Cancel This Appointment

Cancel Future Appointments

Reschedule One Appointment

Recurring bookings add considerable scheduling complexity, so they can be introduced after the core booking system is stable.

---

50. Add AI Scheduling Features

AI can make scheduling easier without replacing the underlying scheduling engine.

For example, a user could type:

Find a 30-minute slot with Rahul
next week in the afternoon.

AI can convert the request into structured scheduling criteria.

Another feature could summarize the day:

You have 6 meetings today.

Your first meeting is at 10 AM.

You have a free period between
1 PM and 3 PM.

AI can also help with:

• Meeting preparation
• Booking summaries
• Follow-up drafts
• Scheduling-rule setup
• Meeting classification

However, the actual availability calculation should still use deterministic scheduling rules rather than relying on an AI model to guess whether a slot is available.

---

51. Build Subscription Plans for Your Scheduling SaaS

If you plan to sell the platform, create subscription tiers.

For example:

Free

1 User

Basic Scheduling

Limited Event Types

Professional

Unlimited Event Types

Calendar Integrations

Reminders

Custom Branding

Workflows

Teams

Multiple Users

Round Robin

Team Scheduling

Advanced Analytics

Admin Controls

Enterprise

Advanced Permissions

Security Controls

Custom Integrations

Organization Management

Your actual pricing and limits should depend on your target customers and operating costs.

---

52. Add Roles and Permissions

Team accounts need permission controls.

Member

Can manage:

Own Availability

Own Events

Own Bookings

Team Manager

Can additionally:

Manage Team Events

View Team Bookings

View Team Reports

Administrator

Can manage:

Users

Teams

Billing

Integrations

Organization Settings

Security

Backend APIs must enforce permissions.

Do not rely only on hiding buttons in the frontend.

---

53. Implement Multi-Tenant Architecture

If many businesses use your SaaS, every company’s information must remain isolated.

For example:

Scheduling Platform
       │
       ├── Company A
       │ ├── Users
       │ ├── Events
       │ └── Bookings
       │
       └── Company B
              ├── Users
              ├── Events
              └── Bookings

Relevant records should contain clear organization ownership.

Your authorization flow can check:

User
 ↓
Organization
 ↓
Role
 ↓
Resource
 ↓
Permission

Tenant isolation should be enforced in backend and database architecture where appropriate.

---

54. Implement Security

Appointment systems contain customer contact information, calendar connections, meeting links, and potentially payment information.

Implement:

• HTTPS
• Secure authentication
• Role-based access
• Tenant isolation
• Secure OAuth token storage
• Rate limiting
• Input validation
• Secure API keys
• Encryption where appropriate
• Database backups
• Audit logs
• Monitoring
• Secure payment integrations

Public booking pages also require protection against automated abuse.

Add rate limiting and bot protection where appropriate.

---

55. Build Audit Logs

Important business actions should be recorded.

For example:

Appointment Rescheduled

Old:
25 September – 2 PM

New:
26 September – 11 AM

Changed By:
Customer

Time:
4:30 PM

Other useful audit events include:

Appointment cancelled

Availability changed

Calendar disconnected

Team member removed

Payment refunded

Integration connected

Event type deleted

Audit history becomes particularly important for team and enterprise accounts.

---

56. Test Scheduling Edge Cases

Scheduling software contains many edge cases that normal CRUD applications do not.

Test scenarios such as:

• Two customers book the same slot simultaneously
• Calendar event appears during booking
• Host changes availability
• Guest reschedules during payment
• Payment succeeds after timeout
• Calendar synchronization fails
• OAuth token expires
• User changes time zone
• Daylight-saving time changes
• Host deletes an event type with future bookings
• Team member becomes unavailable
• Round-robin member is removed
• Reminder job executes twice
• Booking webhook arrives twice
• Customer opens an expired booking link
• Group event reaches capacity

Automated tests are especially important for:

Time-Zone Conversion

Slot Generation

Conflict Detection

Booking Creation

Rescheduling

Cancellation

Team Assignment

A scheduling bug can create duplicate appointments or display incorrect meeting times, so these workflows need strong testing.

58. Frequently Asked Questions

Can I build an appointment scheduling app using Flutter?

Yes.

Flutter can be used to build Android and iOS scheduling applications with calendars, appointment management, availability settings, notifications, and booking management.

For public booking pages, a responsive web application is also useful because customers can schedule appointments without installing an app.

Can Firebase be used?

Yes.

Firebase can support authentication, push notifications, selected realtime functionality, and other application features.

However, complex scheduling data often benefits from a carefully designed relational database.

Can Supabase be used?

Yes.

Supabase can be a strong option because it provides PostgreSQL, authentication, storage, and realtime functionality.

You still need reliable backend logic for slot generation, conflict detection, reminders, integrations, and payments.

Can I integrate Google Calendar?

Yes.

A scheduling platform can integrate external calendars so existing calendar events block unavailable times and confirmed appointments can be added to the user’s calendar.

You need secure authorization, token management, synchronization, and error handling.

Can customers book without creating an account?

Yes.

For many scheduling products, this creates a smoother booking experience.

Customers can enter their name, email, and required booking information without registering.

Can I charge customers when they book?

Yes.

You can integrate a payment provider and require full payment or a deposit before confirming selected appointment types.

Can I build a Calendly alternative for small businesses?

Yes.

Instead of initially targeting every scheduling use case, you can focus on a particular industry.

For example:

• Consultants
• Agencies
• Salons
• Coaches
• Tutors
• Sales teams
• Recruiters
• Local service businesses

Industry-specific workflows can help differentiate the product.

Conclusion

Building an appointment scheduling app like Calendly requires much more than placing a calendar on a website.

A reliable platform needs event types, availability rules, slot generation, time-zone conversion, conflict prevention, booking pages, calendar synchronization, reminders, rescheduling, cancellation, and secure customer management.

Start with one-to-one scheduling.

Build user profiles, event types, weekly availability, date overrides, public booking pages, conflict-safe appointment creation, confirmations, cancellations, and rescheduling first.

Next, introduce calendar integrations, reminders, video meetings, payments, team scheduling, round robin, automation, analytics, and developer APIs.

Most importantly, keep availability calculations on the backend and always recheck a slot before confirming a booking.

With a strong scheduling engine at its core, a simple appointment application can gradually grow into a complete scheduling SaaS platform for individuals, teams, and businesses.
