Creating invoices manually becomes difficult as a business grows. Products increase, customers need proper invoices, GST calculations must be accurate, payments need tracking, and business owners need clear sales reports.
A GST billing app brings these operations into one system. It can help a business create GST invoices, manage customers and products, calculate taxes, track payments, generate PDF invoices, record credit notes, monitor sales, and maintain billing history.
For Indian businesses, however, GST billing should not be treated as a simple invoice-design feature. Invoice fields and tax treatment need to follow the applicable GST rules. For example, GST tax invoices require prescribed particulars such as supplier details and GSTIN, a financial-year-unique consecutive invoice number, invoice date, recipient details where applicable, HSN/SAC, description, quantity for goods, and supply value. (CBIC GST)
This guide focuses on the features a practical business billing system actually needs.
1. Understand the Basic Billing Workflow
A straightforward billing process can be:
Select Customer
↓
Add Products / Services
↓
Enter Quantity
↓
Calculate Taxable Value
↓
Apply GST
↓
Apply Discount if Required
↓
Calculate Final Total
↓
Create Invoice
↓
Record Payment
↓
Share / Print InvoiceThe app should perform calculations automatically.
The employee creating an invoice should not need to manually calculate CGST, SGST, or IGST for every line.
Example: A clean GST billing interface for creating invoices and managing business sales.
2. Configure the Business Profile
Before invoices can be created, the business should configure its billing details.
Store information such as:
Business Name
GSTIN
Business Address
State
State Code
Phone
Email
Logo
Bank DetailsFor example:
ABC Traders
GSTIN:
08XXXXXXXXXXX
State:
Rajasthan
Business Address:
Jaipur, RajasthanThese details can then automatically appear on generated invoices.
If the business operates through multiple GST registrations or branches, the system architecture may need separate billing configurations.
3. Build Customer Management
The billing app should maintain customer records.
A customer profile can contain:
Customer Name
Business Name
Phone
Email
Billing Address
Shipping Address
GSTIN
State
State CodeCustomers can broadly be handled as:
Registered Business Customer
Unregistered CustomerThe billing flow can then request the appropriate information based on the transaction.
Employees should be able to search existing customers instead of entering their details for every invoice.
4. Build Product and Service Management
Businesses should be able to create reusable products and services.
For goods:
Product:
Office Chair
HSN:
9401
Selling Price:
₹5,000
GST Rate:
18%
Unit:
PieceFor services:
Service:
Software Development
SAC:
Configured Applicable Code
Rate:
₹50,000
GST Rate:
Configured Applicable RateA product/service record can contain:
Name
Type
HSN / SAC
Description
Unit
Selling Price
Applicable GST Rate
StatusDo not hardcode one GST rate for the entire application.
Different supplies may have different tax treatment, so tax configuration should be attached to the relevant product, service, or billing rule.
5. Build the Invoice Creation Screen
Invoice creation should be fast enough for everyday business use.
A typical screen can contain:
Customer
Invoice Date
Place of Supply
Products / Services
Quantity
Rate
Discount
Tax
NotesFor each item:
Product Qty Rate GST
Office Chair 2 ₹5,000 18%The system then calculates the totals automatically.
6. Generate Invoice Numbers Correctly
Invoice numbering should not be random.
A business might use a format such as:
INV/2026-27/0001
INV/2026-27/0002
INV/2026-27/0003The exact series can be configurable according to business requirements.
GST invoice rules require a consecutive serial number, unique for the financial year, within the permitted format. (CBIC GST)
The backend should therefore control invoice-number allocation.
Do not depend on the frontend to generate the final invoice number because multiple employees could create invoices simultaneously.
7. Calculate Taxable Value
For each invoice line, calculate the taxable amount according to the applicable pricing and discount rules.
A simplified example:
Product Price:
₹10,000
Quantity:
2
Gross Amount:
₹20,000
Discount:
₹2,000
Taxable Value:
₹18,000GST is then calculated on the applicable taxable value.
All important calculations should be repeated or validated by the backend before the invoice is finalized.
8. Handle CGST and SGST
For an intra-state taxable supply where CGST and SGST apply, the applicable GST amount is divided between central and state tax.
For a simplified 18% example:
Taxable Value:
₹10,000
CGST @ 9%:
₹900
SGST @ 9%:
₹900
Invoice Total:
₹11,800The system should calculate this based on the applicable transaction rules rather than asking the employee to manually split GST.
9. Handle IGST
For an inter-state taxable supply where IGST applies, the calculation may instead look like:
Taxable Value:
₹10,000
IGST @ 18%:
₹1,800
Invoice Total:
₹11,800The billing engine therefore needs relevant supplier and place-of-supply information to determine the correct tax treatment.
Place of supply is also a prescribed invoice particular for applicable inter-state supplies. (CBIC GST)
Because GST place-of-supply rules can become more complex for particular goods, services, exports, imports, and transaction structures, the software should support configurable rules and professional tax review where required.
10. Support Different GST Rates
The system should support applicable tax configurations rather than assuming every product uses the same percentage.
For example, a catalog may conceptually contain:
Product A
Applicable GST: 5%
Product B
Applicable GST: 12%
Product C
Applicable GST: 18%An invoice can therefore contain items with different tax rates.
The invoice engine should calculate each line separately before generating the tax summary.
Do not hardcode a rate simply because it is common. Applicable rates can depend on classification and current law.
11. Generate a GST Tax Summary
At the bottom of the invoice, provide a clear tax breakdown.
For example:
Taxable Amount:
₹25,000
CGST:
₹2,250
SGST:
₹2,250
Total Tax:
₹4,500
Grand Total:
₹29,500For an invoice involving IGST:
Taxable Amount:
₹25,000
IGST:
₹4,500
Grand Total:
₹29,500This summary should be generated from invoice-line calculations rather than manually entered totals.
12. Store a Snapshot of Invoice Data
Suppose a product currently costs:
₹1,000Six months later, the business changes its price to:
₹1,250The old invoice must still show:
₹1,000Therefore, invoice items should store historical values such as:
Product Name
HSN / SAC
Quantity
Unit
Rate
Discount
Taxable Value
GST Rate
Tax Amount
Line TotalDo not rebuild historical invoices using current product data.
The finalized invoice should preserve what was actually billed at that time.
13. Generate PDF Invoices
Once an invoice is finalized, customers should be able to receive a professional PDF.
A GST invoice may display:
Business Details
GSTIN
Invoice Number
Invoice Date
Customer Details
Customer GSTIN where applicable
Place of Supply where applicable
HSN / SAC
Item Details
Quantity
Rate
Taxable Value
GST Breakdown
Invoice Total
Payment Details
Authorized InformationThe exact fields should follow the requirements applicable to that invoice and business. CBIC’s invoice rules specify the prescribed particulars for GST tax invoices. (CBIC GST)
Businesses can also add their logo and contact information without changing the required tax data.
14. Share and Print Invoices
After creating an invoice, provide practical actions such as:
Print Invoice
Email Invoice
Share InvoiceFor a mobile billing application, sharing the generated PDF can be especially useful for small businesses.
The original invoice record should remain stored in the system even after it has been shared.
15. Track Invoice Status
Invoices should have clear states.
For example:
Draft
Finalized
CancelledPayment status should be separate:
Unpaid
Partially Paid
Paid
RefundedFor example:
Invoice:
INV/2026-27/0048
Invoice Status:
Finalized
Payment Status:
Partially PaidSeparating these concepts makes reporting and payment tracking much cleaner.
16. Build Payment Tracking
The business should be able to record customer payments against invoices.
For example:
Invoice Total:
₹25,000
Paid:
₹15,000
Balance:
₹10,000A payment record can contain:
Payment Date
Amount
Payment Method
Reference Number
NotesPayment methods may include:
Cash
UPI
Bank Transfer
Card
ChequeThe system can then automatically calculate the outstanding balance.
17. Support Partial Payments
Many B2B businesses receive payments in multiple installments.
For example:
Invoice:
₹50,000
Payment 1:
₹20,000
Payment 2:
₹15,000
Outstanding:
₹15,000Do not overwrite previous payments.
Maintain individual payment records so the complete collection history remains available.
18. Build Outstanding Payment Tracking
The dashboard should help businesses identify unpaid invoices.
For example:
Total Receivable:
₹4,80,000
Overdue:
₹1,20,000A customer account can show:
Customer:
ABC Enterprises
Invoice #101:
₹20,000 Due
Invoice #115:
₹35,000 DueUseful filters include:
Unpaid
Partially Paid
Overdue
PaidThis turns the billing app into a useful receivables-management tool instead of only an invoice generator.
19. Add Payment Due Dates
Credit-based businesses should support invoice due dates.
For example:
Invoice Date:
10 September
Payment Terms:
30 Days
Due Date:
10 OctoberThe system can then classify invoices as:
Due Soon
Due Today
OverduePayment terms can also be stored against repeat customers.
20. Add Payment Reminders
Businesses can send reminders for outstanding invoices.
A workflow can be:
Invoice Finalized
↓
Due Date Approaching
↓
Check Outstanding Balance
↓
Send ReminderIf the invoice has already been paid, no reminder should be sent.
Automated reminders can be processed using background jobs.
21. Handle Credit Notes
Businesses may need credit notes when an invoice amount needs to be reduced under applicable circumstances.
For example:
Original Invoice:
₹20,000
Eligible Adjustment:
₹5,000
Credit Note:
₹5,000The credit note should reference the relevant original invoice where required.
Maintain the original invoice and credit note separately rather than modifying historical billing records without traceability.
22. Handle Debit Notes
Where applicable, businesses may also need debit-note functionality.
A debit note record can contain:
Debit Note Number
Original Invoice Reference
Customer
Reason
Taxable Amount
Tax Details
Total
DateCredit and debit note workflows should be designed according to current GST requirements and the business’s accounting process.
23. Add Inventory Integration for Product Businesses
A GST billing app for businesses selling physical products can connect billing with inventory.
For example:
Invoice Finalized
↓
Product Sold
↓
Stock Movement Created
↓
Inventory ReducedSuppose:
Current Stock:
50
Invoice Quantity:
3After the appropriate sales event:
Remaining Stock:
47If inventory is important to the business, maintain stock movements rather than silently changing only one quantity field.
24. Add Customer Ledger
A customer ledger helps B2B businesses understand transactions with each customer.
For example:
ABC Enterprises
Invoice #101 ₹20,000
Payment -₹10,000
Invoice #108 ₹15,000
Payment -₹5,000
Outstanding ₹20,000This gives the business a clear picture of:
Invoices
Payments
Credit Notes
Outstanding BalanceIt is especially useful for businesses selling on credit.
25. Add Sales Reports
The billing dashboard should provide useful business information.
Important reports can include:
Total Sales
Taxable Sales
GST Collected
Paid Invoices
Outstanding Invoices
Customer-Wise Sales
Product-Wise SalesFor example:
This Month
Sales:
₹8,40,000
Collected:
₹6,90,000
Outstanding:
₹1,50,000Keep reports focused on decisions the business actually needs to make.
26. Build GST-Oriented Reports and Exports
The billing system should preserve structured invoice data that can support accounting and GST workflows.
Useful reports may include:
Invoice Register
Tax Rate Summary
HSN / SAC Summary
CGST Summary
SGST Summary
IGST Summary
Credit Note Register
Debit Note RegisterDepending on the business requirements, structured exports can also be prepared for accounting or return-preparation workflows.
Do not market a basic billing report as automatic GST compliance unless the software actually supports the applicable return and reconciliation requirements.
27. Add E-Invoicing When Applicable
GST e-invoicing is different from simply generating a PDF invoice.
Under the e-invoice system, specified invoice information is reported to an Invoice Registration Portal, which validates it and returns an Invoice Reference Number (IRN) and signed QR code. The government portal does not replace the business’s own invoice-generation system. (GST Tutorial)
A supported workflow can be:
Create Invoice
↓
Validate Required Data
↓
Prepare Required Schema
↓
Submit Through Authorized Integration
↓
Receive IRN + Signed QR Code
↓
Update Invoice
↓
Generate Final DocumentThe official e-invoice material currently identifies the notified aggregate-turnover threshold as ₹5 crore and above from 1 August 2023, subject to applicable exemptions and rules. (eInvoice 6)
Because applicability can change, do not hardcode eligibility assumptions permanently into the product. Keep compliance rules configurable and verify current requirements during implementation.
28. Add E-Way Bill Integration When Required
Businesses moving goods may also need e-way bill support.
The billing system can collect information required for the relevant workflow, such as:
Invoice
Consignor / Consignee
Delivery Location
Transporter
Vehicle / Transport Details
Goods DetailsIt can then integrate with the applicable e-way bill service where the business requires it.
CBIC’s Rule 138 material states that an e-way bill is generally required for specified movement of goods where consignment value exceeds ₹50,000, subject to the rule’s conditions and exceptions. (CBIC GST)
Because e-way bill requirements include exceptions and transaction-specific rules, the app should not determine compliance solely from one amount check.
29. Build Role-Based Access
Different employees should have different permissions.
Billing Staff
Can:
Create Invoice
View Customers
Record Allowed PaymentsAccountant
Can:
View Invoices
Manage Credit / Debit Notes
Record Payments
View Tax ReportsManager
Can:
View Sales
View Outstanding Payments
Approve Sensitive ActionsAdministrator
Can:
Manage Users
Manage Permissions
Configure GST Settings
Manage IntegrationsBackend APIs should enforce these permissions.
30. Maintain an Audit Trail
Financial records should be traceable.
For example:
Invoice:
INV/2026-27/0050
Created By:
Rahul
Created:
11:20 AM
Payment Added By:
Amit
Payment Added:
3:45 PMImportant events can include:
Invoice Created
Invoice Finalized
Payment Recorded
Credit Note Created
Configuration Changed
User Permission ChangedAvoid allowing important financial records to disappear without a history of what happened.
31. Choose the Technology Stack
A custom GST billing platform can use a straightforward architecture.
Flutter
Flutter can be used for:
Android Billing App
iOS Billing App
Invoice Creation
Customer Management
Payment Tracking
ReportsThis is particularly useful when owners and employees need billing access from phones or tablets.
Next.js
A web dashboard can handle:
Invoices
Customers
Products
Payments
Reports
Business Settings
User ManagementNode.js + NestJS
The backend can manage:
Authentication
Invoice Numbering
GST Calculations
Invoices
Payments
Credit Notes
Reports
IntegrationsPostgreSQL
Store structured financial data such as:
Businesses
Customers
Products
Invoices
Invoice Items
Payments
Credit Notes
Tax ConfigurationsThe database should be the authoritative source for finalized billing records.
32. Design the Core Database
A practical billing database can contain the following.
Businesses
id
name
gstin
address
state_codeCustomers
id
business_id
name
gstin
billing_address
shipping_address
state_codeProducts

invoice_id
amount
payment_method
reference
payment_dateCredit Notes
id
invoice_id
credit_note_number
reason
amount
created_atThe final database should be designed around the actual accounting and billing workflow.
33. Keep Tax Calculations on the Backend
Do not trust totals sent by the mobile or web application.
The frontend can send:
Customer
Products
Quantities
Selected DiscountsThe backend should verify:
Product Price
Tax Configuration
Discount Eligibility
Place of Supply
Taxable Value
GST Calculation
Final TotalThen the server creates the invoice.
This prevents manipulated client requests from creating incorrect financial records.
34. Avoid Floating-Point Errors
Financial calculations require consistent precision.
For example:
₹1,250.50should not be stored and calculated using uncontrolled binary floating-point behavior.
Use an appropriate decimal or integer-minor-unit strategy according to the system design.
Also define consistent rounding rules for:
Line Values
Discounts
Taxes
Invoice TotalsThis prevents small differences between invoices, reports, and accounting exports.
35. Protect Finalized Invoices
Once an invoice has been finalized, casual editing should be restricted.
Otherwise someone could change:
Price
GST Rate
Customer
Quantityafter the invoice has already been issued.
Corrections should follow an appropriate controlled workflow, such as cancellation where legally permitted, or credit/debit notes and replacement documents where applicable.
The exact process should match current GST and accounting requirements.
36. Secure the Billing App
A billing platform contains financial and customer information.
Essential controls include:
HTTPS
Secure Authentication
Backend Authorization
Role-Based Access
Input Validation
Rate Limiting
Audit Logs
Encrypted Transport
Database Backups
MonitoringSensitive API keys and GST integration credentials should remain on secure backend infrastructure.
Do not embed them directly inside a Flutter or web frontend.
37. Back Up Business Records
Businesses cannot afford to lose invoice history because a device is lost or damaged.
Maintain secure server-side backups for important records such as:
Invoices
Customers
Payments
Products
Credit Notes
Tax Records
ConfigurationA mobile device should act as an interface to the business system rather than the only location containing critical billing data.
38. Test Real Billing Scenarios
Do not test only simple invoices.
Test scenarios such as:
Intra-State Invoice
Inter-State Invoice
Multiple GST Rates
Discounted Invoice
Registered Customer
Unregistered Customer
Partial Payment
Full Payment
Credit Note
Refund
Invoice Cancellation
Duplicate Invoice Request
Concurrent Invoice CreationIf inventory is integrated, also test:
Invoice Created
Stock Reduced
Invoice Corrected
Customer Return
Stock RestoredFor businesses using e-invoicing or e-way bills, test both successful and failed integration responses before production.
39. Build the App in Practical Phases
A small business does not need every accounting feature on day one.
Phase 1 – GST Billing MVP
Build:
Business Profile
Customers
Products / Services
HSN / SAC
GST Configuration
Invoice Creation
CGST / SGST / IGST Calculation
PDF Invoice
Payment Tracking
Basic Sales ReportsPhase 2 – Business Management
Add:
Partial Payments
Outstanding Tracking
Payment Reminders
Customer Ledger
Credit / Debit Notes
Inventory Integration
Advanced Reports
Role-Based AccessPhase 3 – Compliance & Integrations
Add when applicable:
E-Invoice Integration
E-Way Bill Integration
Accounting Integration
Multiple Branches
Advanced Exports
Business-Specific AutomationThis keeps the first version useful without turning it into an unnecessarily large ERP system.

The architecture can support multiple organizations, branches, invoice series, users, and GST configurations when the business requires them.
Conclusion
A GST billing app should do much more than calculate a percentage and print an invoice.
The core business workflow should be:
Customer
→ Product / Service
→ Tax Calculation
→ GST Invoice
→ Payment
→ Outstanding Balance
→ ReportsFor the first version, focus on accurate customer and product records, GST calculations, invoice numbering, PDF invoices, payment tracking, and useful sales reports.
Then add inventory, customer ledgers, credit and debit notes, role-based access, e-invoicing, e-way bills, and accounting integrations according to actual business requirements.
Most importantly, financial and GST logic should be controlled by the backend and reviewed against current applicable requirements. That gives the business a billing system it can actually rely on rather than just another invoice generator.
