Customer relationships are essential for business growth. However, managing customer information, sales leads, follow-ups, and support requests becomes difficult when businesses rely on spreadsheets and disconnected tools.
A Customer Relationship Management (CRM) platform helps businesses organize customer data, manage sales pipelines, automate repetitive tasks, and track interactions from a single system.
Platforms like Salesforce provide tools for sales management, marketing automation, customer service, reporting, and business operations.
Building a CRM like Salesforce allows you to create a customized solution for your business or develop a SaaS platform that serves multiple companies.
In this guide, you will learn how to build a CRM like Salesforce, including its essential features, technology stack, database design, development process, and estimated costs.
1. What Is a CRM Platform Like Salesforce?
A CRM is a software platform that helps businesses manage relationships with existing and potential customers.
It stores customer information, tracks sales opportunities, records communication history, and helps teams manage daily activities.
For example, imagine a software development company receiving inquiries from customers interested in mobile app development.
Without a CRM, the company may manage inquiries through emails, spreadsheets, and phone calls. As the number of customers increases, tracking conversations and follow-ups becomes difficult.
With a CRM, the company can record each inquiry, assign it to a sales representative, schedule follow-ups, and track its progress until the deal is completed.
A CRM typically provides:
- Customer and contact management.
- Lead tracking and sales pipelines.
- Tasks, meetings, and follow-up reminders.
- Email and communication history.
- Sales automation and notifications.
- Reports, dashboards, and analytics.
- Team management and role-based permissions.
The main goal is to organize customer information and help businesses manage their sales and service activities efficiently.
2. How Does a CRM Like Salesforce Work?
A CRM connects customer information, sales activities, and business workflows through a centralized system.
First, a business receives a new customer inquiry through its website, email, phone, or another communication channel.
The CRM stores the inquiry as a lead. Next, a sales representative reviews the lead, contacts the customer, and records the conversation.
If the customer shows interest, the representative can create a sales opportunity and move it through different pipeline stages.
A typical CRM workflow includes three main components.
Sales management: Tracks leads, customer interactions, opportunities, quotations, and completed deals.
Customer management: Stores customer profiles, contact details, communication history, and related business records.
Administration and reporting: Manages team permissions, business workflows, dashboards, and performance reports.
All components connect to a shared backend that manages customer data, user permissions, notifications, and business operations.
3. Choose Your CRM Business Model
Before development, decide whether you want to build a CRM for your own company or offer it as a SaaS product.
Your business model determines how you manage users, subscriptions, company accounts, and customer data.
CRM for a single business
A company can develop a custom CRM to manage its internal sales and customer service operations.
For example, a real estate agency can build a CRM for managing property inquiries, site visits, agents, and customer follow-ups.
This approach allows the company to customize workflows according to its specific requirements.
Subscription-based CRM SaaS
You can create a cloud-based CRM where different companies register and pay a monthly or annual subscription.
For example, you could offer a basic plan for small businesses and a premium plan with advanced automation, analytics, and integrations.
Custom CRM development
You can also build customized CRM solutions for individual clients.
For example, a healthcare business, educational institution, or logistics company may require specialized customer management workflows.
For the first version, choose one target industry or a focused set of business requirements instead of attempting to reproduce every Salesforce feature.
4. Essential Features of a CRM Like Salesforce
A complete CRM requires functionality for managing customers, sales, communication, and business operations.
Start with the features needed to capture leads, organize contacts, manage opportunities, and track sales activities.
Lead management
Lead management helps businesses collect and organize potential customer inquiries.
Essential features include:
- Manual lead creation and editing.
- Lead capture through website forms.
- Lead assignment to sales representatives.
- Lead source and status tracking.
- Follow-up scheduling and reminders.
- Lead conversion into contacts and opportunities.
For example, when a visitor submits a contact form on your company’s website, the CRM can automatically create a new lead and assign it to an available sales representative.
Contact and account management
A CRM should maintain organized records of customers and their associated businesses.
Each contact profile can include a name, email address, phone number, company, designation, and communication history.
Additionally, users should be able to associate multiple contacts with a single company account.
For example, a software company may communicate with a project manager, finance manager, and business owner from the same client organization.
Sales pipeline management
A sales pipeline helps businesses track potential deals through different stages.
A typical pipeline may include:
- New lead
- Contacted
- Qualified
- Proposal sent
- Negotiation
- Closed won or closed lost
Sales representatives should be able to move opportunities between stages, update deal values, and record relevant activities.
Moreover, businesses should be able to customize pipeline stages according to their sales process.
5. Choose the Right Technology Stack
Your technology stack determines how your CRM manages customer records, supports multiple users, and handles business automation.
For example, you can build the CRM website using Next.js, develop mobile applications with Flutter, and manage backend operations through Node.js.
Next.js – CRM Website and Admin Dashboard
Build responsive customer management interfaces, sales pipelines, reporting dashboards, and administrative tools.
Flutter – CRM Mobile Application
Develop Android and iOS applications using a shared codebase. Flutter supports contact management, sales tracking, task reminders, and customer activity updates.
Node.js and Express.js – Backend
Handle authentication, customer records, lead management, sales workflows, notifications, and third-party integrations.
PostgreSQL – Database
Store company accounts, contacts, leads, opportunities, activities, tasks, subscriptions, and user permissions.
Redis – Caching and Background Processing
Support frequently accessed data, temporary application state, and background job coordination when needed.
You can also use Firebase or Supabase for authentication, managed database services, file storage, and notifications.
However, choose your technology stack according to your CRM’s complexity, expected user volume, and development budget.
6. Design Your CRM Database
A well-organized database helps your CRM manage customer relationships, sales opportunities, and business activities.
Your initial database should include the following entities.
Organizations and Users
Store company accounts, employees, team memberships, roles, and access permissions.
Leads and Contacts
Store potential customer inquiries, contact information, lead sources, and customer profiles.
Accounts and Opportunities
Store customer organizations, associated contacts, potential deals, estimated values, and sales stages.
Tasks and Activities
Track calls, meetings, follow-ups, notes, assigned employees, and scheduled activities.
Subscriptions and Audit Logs
Store subscription plans, billing records, important user actions, and administrative changes.
For a SaaS CRM, each company’s private records must be isolated from other companies.
For example, Company A must not be able to access Company B’s customer information, sales opportunities, or employee records.
Implement tenant-aware database access and enforce permissions on the backend.
Additionally, use appropriate database constraints, indexing, and backups to maintain data consistency and performance.
7. Build Lead and Customer Management
Lead management is one of the most important CRM workflows.
Start by creating a lead registration form where sales representatives can enter customer details, inquiry information, lead source, and assigned employee.
Next, allow users to update lead status and record communication activities.
For example, a customer submits an inquiry requesting an e-commerce application.
The CRM creates a lead and assigns it to a sales representative. The representative contacts the customer, records their requirements, and schedules a follow-up meeting.
If the customer is qualified, the representative can convert the lead into a contact, company account, and sales opportunity.
Customer activity timeline
Each customer profile should display a timeline of relevant activities.
This may include calls, emails, meetings, notes, proposals, and previous purchases.
Additionally, allow authorized team members to add notes and attach relevant documents.
A centralized activity timeline helps employees understand previous conversations before contacting a customer.
8. Build a Visual Sales Pipeline
A visual sales pipeline helps sales teams understand which opportunities require attention.
Instead of reviewing a long list of customer records, users can organize deals into different sales stages.
Sales Pipeline
Example
A simple CRM pipeline showing how customer opportunities move through different stages.
New Lead
₹50,000
Website Development
ABC Company
Deal value: ₹50,000
Proposal Sent
₹1,20,000
Mobile App Development
XYZ Technologies
Deal value: ₹1,20,000
Closed Won
₹80,000
CRM Development
Demo Business
Deal value: ₹80,000
Each opportunity should include a deal name, customer, estimated value, assigned employee, expected closing date, and current stage.
Additionally, users should be able to update opportunities through a simple interface.
For example, when a customer accepts a proposal, the sales representative can move the opportunity to the appropriate stage.
For advanced functionality, introduce drag-and-drop pipeline management and configurable sales workflows.
9. Implement Task Management and Follow-Up Reminders
Sales representatives often manage multiple customers simultaneously.
Therefore, your CRM should provide a task management system for organizing calls, meetings, and follow-ups.
A typical task can include a title, description, assigned employee, due date, priority, and completion status.
For example, a sales representative can create a reminder to contact a customer two days after sending a proposal.
The CRM can notify the assigned employee when the follow-up is due.
Additionally, managers should be able to view overdue tasks and monitor team activities according to their permissions.
For the first version, implement task creation, assignment, status updates, and basic reminders.
Later, you can introduce recurring tasks, calendar synchronization, and automated follow-up sequences.
10. Add CRM Automation and Workflow Management
Automation helps businesses reduce repetitive administrative work.
For example, when a new lead is created, the CRM can automatically assign it to a sales representative and schedule an initial follow-up.
Similarly, when an opportunity reaches a specific stage, the system can notify the responsible manager.
A basic automation workflow may include:
- A customer submits a website inquiry.
- The CRM creates a new lead.
- The system assigns the lead to a sales representative.
- A follow-up task is created automatically.
- The assigned employee receives a notification.
Start with predefined automation rules for common business activities.
As your platform grows, you can introduce a workflow builder where administrators configure triggers, conditions, and actions.
However, automation rules should include permission checks, execution limits, and safeguards against repeated or circular workflows.
11. Integrate Email, Calendar, and Communication Tools
A CRM becomes more useful when employees can manage customer communication from a centralized interface.
You can integrate email services, calendar platforms, and supported communication APIs.
For example, a sales representative can send a proposal through an integrated email service and record the communication in the customer’s activity timeline.
Similarly, calendar integration can help employees schedule meetings and manage follow-up appointments.
Common integrations include:
- Gmail and Microsoft Outlook.
- Google Calendar and Microsoft 365 Calendar.
- WhatsApp Business Platform.
- Supported telephony and SMS services.
- Website contact forms and lead generation tools.
For each integration, use the provider’s supported authentication and API methods.
Additionally, request only the permissions required for the relevant functionality and allow users to disconnect integrations when appropriate.
12. Build CRM Reports and Analytics
CRM reports help businesses understand their sales activities and customer relationships.
Start by creating a dashboard that displays leads, opportunities, completed deals, and upcoming activities.
For example, a sales manager can view the number of leads generated during the current month and compare them with completed sales.
Useful CRM reports include lead source analysis, sales pipeline value, conversion rates, completed revenue, and employee activity summaries.
Additionally, provide filters for date ranges, sales representatives, and business teams.
Ensure that revenue reports distinguish estimated opportunity values from confirmed sales.
For the first version, focus on accurate reporting rather than building a complex analytics system.
13. Build the CRM Admin Panel
The admin panel allows business owners and authorized managers to control users, permissions, and system settings.
Essential features include:
- Employee registration and account management.
- Role-based access permissions.
- Sales team and department management.
- Custom lead and opportunity stages.
- CRM settings and workflow configuration.
- Subscription and billing management for SaaS products.
- Audit logs and business activity reports.
For example, a sales representative may be allowed to update assigned leads, while a sales manager can access reports for their entire team.
Administrators should also be able to configure which employees can export customer information or delete important records.
14. Implement CRM Security and Data Protection
A CRM stores sensitive business information, including customer contact details, sales records, communication history, and financial information.
Therefore, security should be included throughout development.
Start with secure authentication, HTTPS, and role-based access control.
Your backend must verify user permissions before allowing access to customer records or administrative functions.
For a multi-company SaaS CRM, enforce tenant isolation at the database and application levels.
Additionally, implement database backups, audit logs, appropriate API rate limits, and secure file storage.
Provide suitable tools for data export, correction, and deletion according to applicable privacy requirements.
15. Test and Launch Your CRM Platform
Before launching, test the complete sales representative, manager, and administrator workflows.
Verify that employees can create leads, manage contacts, update opportunities, and schedule follow-ups.
Similarly, confirm that managers can view authorized reports and administrators can manage permissions.
Test important scenarios such as:
- One company attempting to access another company’s records.
- Unauthorized employees attempting to export customer information.
- Duplicate lead creation from website forms.
- Incorrect sales pipeline calculations.
- Failed email or notification delivery.
- Automation rules triggering repeatedly.
- Multiple employees updating the same customer record.
Once testing is complete, deploy the CRM using suitable cloud infrastructure.
Configure HTTPS, database backups, application monitoring, and separate development and production environments.
Start with a limited number of users and collect feedback before expanding the platform.
16. How Much Does It Cost to Build a CRM Like Salesforce?
The development cost depends on the number of features, supported platforms, third-party integrations, automation requirements, and expected user volume.
A basic CRM MVP may include customer management, lead tracking, sales pipelines, task management, and an administrative dashboard.
However, an advanced CRM may require mobile applications, custom workflow builders, marketing automation, customer service modules, AI-powered features, and complex enterprise integrations.
Your budget should account for application development, hosting, database services, integrations, testing, security, and ongoing maintenance.
For a SaaS CRM, you should also consider subscription billing, tenant isolation, customer onboarding, and ongoing infrastructure costs.
Starting with a focused MVP can help control initial expenses while allowing you to validate your CRM’s business model.
